Automate a defined workflow
Start with a repetitive task whose inputs, decisions and outputs can be described clearly. Map the process as it works today, including exceptions and handoffs. A small, well-defined workflow is often easier to evaluate than a broad request to automate an entire business.
Check systems and data first
List the applications involved, how data moves between them and who can authorize access. APIs, exports, data quality and usage limits affect what is practical. Sensitive data, permissions and retention requirements need attention before an integration goes live.
Keep people in the right decisions
Not every step should run unattended. Define approval points for consequential actions, a way to review failures and a manual fallback. If AI is involved, agree how outputs will be checked and which decisions remain with a person.
Measure results honestly
Record the current time per task, task volume and error rate before a pilot. Include setup, review and maintenance costs when estimating value. Compare the same process over a stated period after implementation; do not treat a hypothetical saving as a measured result.
Bring one workflow to the discussion
Describe the trigger, the steps, the systems and the desired result. Include the country and time zone of the people using it, plus any customer or data-location requirements. We can use that outline to discuss scope, dependencies and the next practical step.
